Essentials of Emailing Etiquette

Essentials of Emailing Etiquette

Emailing. We started young, back when we would use yahoo.com and AOL. Since that time, email has now become entirely different. You can block large amounts of garbage, spam and clutter. Your email will automatically go through and make sure you have the correct messages delivered to you. Priority lists, group emails, instant email and multiple servers you can have at once based off your preferences? Email is no longer a simple task with limited access, but a cumulative cloud of well-maintained files.

In this blog post, I am going to give you the ins and outs of making the perfect email for all of your needs.

*Note: Always make sure to have a signature. It is vital in any email that the receiver know your position, and to know to take you seriously.

The professional "I need something from you" email

Nathan,

How are you doing? I hope that all is well and that you are hard at work with the next term of potential students doing debates and learning about Human Rights enforcement.

Currently, I am in D.C. with an internship for the Attorney General’s Office. It has been a very eye-opening and new experience. I have enjoyed it much more than expected and have been lucky enough to be potentially selected for a summer term in D.C. However, as I have been applying to scholarships to fund my internship, I am in need of a reference for the Hartwig 2016 scholarship award.

There is no letter, just a simple phone number, name and department.

I am asking you because I enjoyed your course and what I learned feels very reflective of what I want to do some day (hopefully) in the near future. If you are able to be my reference, I would really appreciate it.

Thank you, and I await your reply. Have a great day!

The friendly "I need something from you" email

Liz,

I was told that you would still be giving feedback on these essays up until Tuesday. If you could please read mine over and let me know what you think, that would be appreciated. Also, as you are also busy around this time of year, I understand if you simply don't have time to review it. Even if its just a quick skim, I appreciate any feedback that you can provide me.

Thank you so much, and I await your reply.

The "Would you like to meet up?/Nice to meet you!" email

Ms. Scholl,

My name is Pedro Gutierrez, and I messaged you on LinkedIn earlier this week. As I said in my previous messages, I would really appreciate an opportunity to get lunch or coffee sometime next week on Wednesday or Thursday? If not, next week is also an option.

Cannot wait to meet you!

Thank you.

The "How did the interview go?" email

Courtney,

I was curious to see how the selection process for the grant was going. Also, I emailed you about updating one of my statements a couple weeks back, but I wanted to double check if that went through. The email is below just to confirm you received the most updated version of the statement.

I await your reply.

Best Regards,

The "Post-rejection response" email

Lenny,

I appreciate the reply and the information. I know that you, USIL and the Office of the President are working hard on coming to a final decision.

Thank you for your efforts and I hope you have a great weekend.

Best Regards,
